Faculty of​ Arts and Sciences - Reappointments & Promotions

The Faculty Handbook is the primary resource for policies governing reappointments and promotions for the various faculty ranks at Yale.  One very important and universal policy is that all faculty members with multi-year appointments of three or more years are entitled to a review in the penultimate year of the term.

Instructions for conducting reappointment and promotion reviews are available on the website for the Faculty of Arts and Sciences.  For faculty in the Schools of Medicine and Public Health, please consult the Office of Faculty Affairs, Yale School of Medicine (http://medicine.yale.edu/facultyaffairs/index.aspx).  Instructions for all other schools are forthcoming.

~ Forms to be used during the review process ~

This is a list of the forms used throughout the reappointment and promotion review process. Each of the guides in the relevant sections below also contain links to these documents.  They are provided here for your convenience, in the order that they are typically used. 

  • Referee Responses Table - (Ladder promotions only) This table is used for tracking the list of external evaluators for the case and their responses.
  • Departmental Faculty Vote - The eligible department faculty must vote on the reappointment or promotion.  The cover page of this form provides a copy of Yale’s voting policy from the Faculty Handbook.  For ladder promotions that will go to the Tenure Appointments Committee, this form will be uploaded to Interfolio.  For all other actions, this form is submitted along with the Faculty Appointment Form.
  • Departmental Case Summary  - (Ladder promotions only)  Although the department administrator may complete items 1-3, the answers to items 4-6 will need to be provided by the department chair.
  • Chart of required documents - This chart provides the list of items that are required for faculty appointments, reappointments, and promotions for all faculty ranks.

***NEW STEPS for the TAC Checklists - for the new functionality in Interfolio.*** 

The list of required materials remains the same. Each list will be updated to match as soon as possible. Please contact OFAS for assistance when putting the materials together for the TAC committee. 

The complete case must be submitted THREE WEEKS in advance of the committee meeting.

  • STEP 1:  In Interfolio, edit the Case for the candidate and add the Case Review Step, FAS Dean (Dept Vote- Yes).  Note: only one case is needed now due to the new functionality in Interfolio.
  • STEP 2:  Next, edit the Case for the faculty member and upload (use the Add File button) the Department Faculty Vote form (http://facultyadmin.yale.edu/fas-department-faculty-vote-form).  Before sending the case forward, BE SURE the Access properties is set to Administrator & Entire Committee for this Department Vote document.  Now, click Send Forward to the FAS Dean (Dept Vote- Yes).  This step starts the process of the TAC review.
  • STEP 3.  You may begin or continue to upload the Required materials from the appropriate TAC Checklists listed below while at the step, FAS Dean (Dept Vote- Yes). Be sure to use the naming conventions and if there are multiple items for that letter, append a number to the letter. After the Department Vote document is reviewed, the FAS Dean’s office will move the case forward into your Dept. Chair and Chair’s Assistant review step so you and your Dept Chair can view of the packet once again before it get sent to OFAS.
  • STEP 4: Verify that the packet is complete – click the Read button to view the packet and check that all documents are uploaded and are legible.  Now, be sure only the documents listed below have the Access property set to Administrator & Entire Committee.  All other documents need to have their Access properties set to Administrator only, especially the Department Vote,  now Send Forward to OFAS.

Reappointments - Reappointment to Assistant Professor

Promotions - Promotion to Associate Professor on Term (AOPN)

NOTE:  All materials going the Tenure Appointments and Promotion Committee must be submitted for review three weeks prior to the scheduled meeting date.

Promotion to Associate Professor on Term (without tenure, AOPN)

Promotions - Initial Promotion to Tenure (AOPT or Prof)

Initial Promotion to Tenure (Associate Professor with tenure [AOPT] or full Professor [Prof])

Secondary Appointments

Secondary appointments in the ladder ranks must be voted by the faculty who are eligible to vote.  They also require approval from the primary department.  Please refer to the Chart of Required Documents to determine which items are required for a secondary appointment at the ladder rank.

Seconday Appointments

Secondary appointments in the non-ladder ranks may need to be voted by faculty who are eligible to vote depending on the type of appointment and the length of the term.  They also require approval from the primary department.  Please refer to the Chart of Required Documents to determine which items are required for a secondary appointment at the non-ladder rank.
