Policies regarding faculty leaves of absence and teaching relief for all Yale schools are located in section XVII of the Faculty Handbook. Procedures for faculty in the Faculty of Arts and Sciences are included below. For procedures in the Schools of Medicine and Public Health, please consult the Office of Faculty Affairs, Yale School of Medicine (http://medicine.yale.edu/facultyaffairs/index.aspx). Procedures for all other schools are forthcoming.
- Upon approval of the leave request from the cognizant provost or school dean, the administrator in the department or school who has the role in Workday of the Academic Support Specialist submits the leave request in Workday. Refer to the Workday guide, “Leave of Absence: Academic” for assistance with this business process.
- Cancellations: To cancel a leave, send email to email@example.com. OFAS will rescind the leave in Workday.
- NOTE: Teaching Relief for Child Rearing and Phased Retirement Work Reduction are not leaves. In these cases, the Request for Faculty Leave form should be completed and sent to firstname.lastname@example.org along with any required supporting documents. See below.
Procedures for requesting leaves or teaching relief
Faculty of Arts & Sciences
All faculty members who wish to take an academic leave must submit the Request for Faculty Leave form to their department chairs by the deadline stated on the form.
- An annual memo is sent to all ladder faculty on or about November 1 soliciting leave requests for the subsequent year. Faculty who have fully joint appointments should submit the form to the chairs of all departments in which they hold fully joint appointments.
NOTE: As rule, all academic leaves span the entire term or year. That is, they must begin on either July 1 or January 1 and must end on either June 30 or December 31.
Tenure-track faculty (Assistant Professors and Associate Professors on term)
Leaves and teaching relief that require documentation
Associate Professor Leave (APL), Junior Faculty Fellowship (JFF), Morse Leave, and Professional Development Leave - These leaves require submission of a proposal and a current CV.
Special Triennial Leave - Requires proof of funding from an external fellowship. The funding must cover a minimum of one term, therefore the documentation must include the dates covered by the funding.
Secondment - Submit a letter or memo of approval from the Provost’s Office.
Short-term medical disability - Submit a letter from the faculty member’s physician documenting the nature and duration of the disability in order to determine the appropriate accommodation and arrangements.
Teaching relief for child rearing - Please follow the instructions online at http://facultyadmin.yale.edu/trc-instructions-and-template-letters.
For faculty in the professional schools (excluding the Schools of Medicine and Public Health), please use the Request for Faculty Leave (Professional Schools) form.
