Secondary Appointments

Faculty who hold a primary appointment in one department, program, or school may hold a secondary appointment in another. Faculty holding a secondary appointment may be eligible to teach, advise students, and supervise dissertations in the secondary department, program, or school, depending on its customs and policies. Refer to section IV.F of the Yale Faculty Handbook for voting rights policies for secondary appointments.
 

Terms of Appointment

The secondary appointment term may only be up to the end date of the primary appointment, but no longer than 5 years (including tenured faculty). Under most conditions the secondary appointment may be initiated and renewed by vote of the faculty in the secondary department or school with approval of its dean.
 

Workday Business Process

Secondary appointments are added via the business process, “Add Academic Appointment”. Secondary reappointments require an “Update Academic Appointment” using the new start date as the effective date for the transaction.

Workday Role: those with the role of Appointments and Promotions Specialist within the academic unit of the secondary appointment will be able to add the secondary appointment in Workday. For example, if a faculty member is primary in School of Medicine, and the department of Psychology wishes to add a secondary appointment, then the administrator with this role in the Academic Unit “Psychology” will be able to add the secondary appointment in Workday.

Supporting Documentation

The following documentation is the minimum requirement for OFAS to approve of secondary appointment business processes in Workday.
 
Either:
  • A secondary appointment letter, signed by the relevant school dean or dean’s designee, stipulating rank, academic unit, start and end date, and any relevant compensation if applicable.
OR, in the absence of a letter:
  • Secondary Appointment Form signed by both academic units (If primary and secondary appointment is within the same unit, the same signatory will suffice).
  • Relevant approval from the cognizant Dean or Dean’s Designee.
  • Uncommon: if compensation is attached to this secondary appointment, Faculty Compensation Approval Form.
