Interfolio: an online system to administer faculty searches or promotion and tenure cases
As of Fall 2014, the school of Faculty of Arts and Sciences and other professional schools have been using the secure online system called “ByCommittee” by Interfolio. This online system was brought in to replace the paper collection and assist with streamlining the promotion and tenure process for administrators as well as faculty members.
Additionally, most schools across campus are now using Interfolio ByCommittee for faculty searches as the way to collect, organize and review all applications for faculty positions.
Tips, guidelines and recommendations for administrators:
- Chrome is the browser of choice. Although, other browsers will work, Chrome tends to provide the best view and functionality.

- Interfolio is NOT an advertisement. This is an online system, a tool, to manage searches and promotion and tenure cases. All searches for faculty teaching positions must adhere to the advertising guidelines set forth by the US Department of Labor.
Sample messages to faculty to introduce the system, Interfolio
Use a message below to send to your faculty members either for a promotion and tenure case, prior to when you move the case forward or when or if they are part of a search committee. Be sure to use the appropriate sample message and modify as you see fit.
Sample letter for promotion and tenure review committee members:
Dear Faculty Members,
This year, we will be using a secure online system called “ByCommittee” by Interfolio to review tenure appointments and promotions cases. Given that this is an online system, you will have secure access to the case files 24/7 via the Internet. Before reading files, please read the confidentiality policy online at http://facultyadmin.yale.edu/sites/default/files/confidentiality_policy.pdf. Also, in order to maintain confidentiality, please try to refrain from printing case file documents. However, if you must print, keep the documents in a secure location and, when the review is completed, bring these documents to me for confidential disposal.
You will soon receive an automated email message that will be sent from the Interfolio system with the subject, “Case Review Step Change.” To access Interfolio, click on the link in the automated message to be directed to the login page for the system. Once there, click on the link titled, ”Sign in through a partner institution,” just below the “Password” box, select “Yale University” from the list, then click “Sign in.” This link will launch the Yale authentication window. Sign In using your Yale netID and password. Detailed instructions for accessing and reading the case are online at http://facultyadmin.yale.edu/interfolio-bycommittee. If the link in the email does not respond, please use the following link, https://account.interfolio.com/sso.

We have been using a secure online system known as “ByCommittee” by Interfolio to post and collect applications for our recent search(es). Given that this is an online system, you will have secure access to the case files 24/7 via the Internet.
To access Interfolio, use the following link, https://account.interfolio.com/sso. Once there, select Yale University from the list of institutions. This link will launch the Yale authentication window. Sign In using your Yale netID and password.
